Finance Operations Manager
GAIA is a high-performance building and sustainability consultancy company specializing in energy-efficient building consulting. They are seeking a Finance Operations Manager to oversee day-to-day finance workflows, manage billing and invoicing, and ensure project financial data accuracy.

Responsibilities
Run day-to-day finance workflows and ensure accurate transactions
Manage billing and invoicing with a focus on accuracy and timeliness. Oversee collections/AR follow-up. With the potential of outsourcing AR in the near future
Coordinate finance execution across multiple active projects
Manage payroll processing
Maintain clean coding and tracking of various job costs by project and category
Coordinate with external CPA firm to support year-end close and annual tax preparation (schedules, reconciliations, documentation)
Develop and maintain the job costing structure and reporting
Support Project managers (PMs) with financial tracking and performance visibility:
Budgeted hours vs currently used to identify projects that are over budget
Provide reports to PMs on completed jobs that show budgeted hours and actual used
Analyzing productivity, utilization, and slip efficiency
Ensure project financial data is complete and consistent
Identify project-level issues early (cost overruns, billing gaps, margin drift)
Support and maintain:
Budgets (company + projects)
Forecasting and projections
Develop and maintain employee costing models:
Hours-based costing
Overhead allocations
Cost rates
Provide analysis of fees for proposal (pricing inputs, labor rates, overhead assumptions)
Ensure financial data is accurate, consistent, and defensible
Develop and maintain the accounting system and standards, not just transaction execution
Lead month-end close:
Reconciliations
Cash & accruals
Classification consistency
Supporting documentation
Implement and enforce internal controls that reduce risk and errors
Create and maintain documented processes
Deliver reliable monthly financial reports that leadership can trust
Provide insights and variance explanations (not just numbers)
Translate bookkeeping data into clear business reporting:
Profitability by project, client, PM
Labor cost tracking
Overhead performance
Cash flow and collections health
Trailing quarters comparison
Forecasting based on past info and contracts in hand
Financial processes end-to-end
Payroll processing execution
AR/AP
Job costing integrity and reporting structure
Monthly reporting accuracy
Accounting standards and controls
Manage potential future bookkeeper
Qualification
Required
Los Angeles Metropolitan area-based or adjacent
7+ years in accounting/finance with hands-on operational responsibility
Advanced knowledge of QuickBooks Online (Level 2 Certification QBO)
Strong job costing/project accounting experience
Proven experience in owning the month-end close and financial reporting
Experience managing payroll processing
High attention to detail and ability to spot inconsistencies/errors
Preferred
Experience with BQE Core is strongly preferred
Experience in real estate design and construction (development, construction, consulting, engineering)
Experience supporting proposal pricing/fee build-ups
Experience strengthening internal controls and process documentation
