Responsibilities

Serve as the primary point of contact for all incoming and outgoing mail, shipping, and deliveries, ensuring everything is sorted, routed, and tracked with precision
Monitor shared inboxes and coordinate shipping for meetings and events, ensuring time-sensitive documents get where they need to go
Manage office supply and food inventory to ensure consistent availability, placing recurring orders and maintaining organized storage systems
Partner with Finance and People Operations to manage costs and anticipate seasonal or operational needs to prevent any disruptions
Coordinate with IT on ordering, setup, and maintenance of all office equipment
Prepare workspaces for new employees, manage IT inventory, and support onboarding/offboarding activities to ensure seamless transitions
Support the planning and execution of employee and visitor events, from birthday brunches to holiday celebrations, that reinforce our fun and collaborative culture
Coordinate all logistics, including scheduling, space setup, and food orders, to ensure events are memorable and run flawlessly
Serve as the primary liaison with building management and vendors to coordinate maintenance and repairs, ensuring a clean, safe, and functional office
Serve as a welcoming, professional first point of contact for all visitors, providing hospitality and light administrative support

Required

5+ years of experience in office management, administrative support, or a related role
Strong learning agility with the ability to pick things up quickly
High attention to detail and exceptional organizational and time-management skills
Excellent written and verbal communication skills
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Ability to work independently with minimal supervision and strong judgment
Treat sensitive information with the utmost confidentiality
Be a role model in promoting the Havenpark culture and living our values of respect, collaboration, grit, boldness, and stewardship
Reliable vehicle, valid driver's license, and the ability to pass a background check
