Responsibilities

Responsible for providing hands‑on leadership in overseeing the daily responsibilities of the operations side of Loan Administration
Guide, train, and support team members while maintaining deep involvement in all operational workflows, ensuring processes are executed accurately and efficiently
Oversee task execution and participate directly in critical functions, strengthen team capability, and drive continuous improvement across the loan administration lifecycle
Responsible for delivering high‑quality service to existing loan clients by addressing inquiries, resolving issues, and ensuring all servicing needs are met promptly and accurately
Provide support with project management efforts and assist in the development of processes and procedures to enhance operational efficiency
Proficient with the functionality of the bank’s core processor and expected to develop strong proficiency across all necessary bank systems in order to effectively mentor, support, and provide training to other team members
Work closely with supervisor to ensure that all daily tasks are covered, projects are up to date, and daily processes are completed within required timelines (i.e. GL reconciliations, daily checkback, loan boarding/maintenance, participation servicing etc.)
Acts as a primary escalation point for complex or time‑sensitive client concerns, coordinating with internal departments, lenders, and management to identify solutions, maintain client satisfaction, and uphold the bank’s service standards
Work with the supervisor to gather, prepare, and deliver required documentation for audits and support ongoing audit readiness by helping to strengthen documentation practices
Work with the supervisor to plan, coordinate, and implement updates to the bank’s core system, ensuring changes are properly tested, documented, and communicated to the Loan Admin team
Serve as a resource to lenders by providing guidance on process and procedural requirements, identifying opportunities to streamline workflows and reinforce practices that enhance efficiency, accuracy, and client experience throughout the loan lifecycle
Work with participation loans to ensure they remain in balance, verify all transactions align with participation agreements, and coordinate timely and accurate payment distribution to participating institutions
Monitor nCino workflows related to post‑closing items, ensuring tasks move efficiently through the process and supporting loan admin team as issues arise
Oversee all aspects of the post-closing process of the loans including but not limited to the following: booking process, post-closing review, exception tracking, participation processing, appraisal orders, flood insurance tracking, daily maintenance of the loan records as needed, paid out loan processing and any other process that a loan may need post-closing
Oversee, providing training for, and assist with the following job duties within the loan administration team: Setup and processing of escrow disbursements and analyses, ensuring accuracy and timely completion
Recording of online documents, including Deeds of Trust and UCC filings
Tasks related to paid‑out loan processing, ensuring all documentation, maintenance, and system updates are handled accurately
Timely imaging of loan documents
Daily monitoring of the Loan Admin and Tickler inbox to ensure timely response, delegation, and resolution of incoming requests
Post‑closing file audits to ensure files meet internal and regulatory standards
Verify CRA data, ensuring accuracy and adherence to reporting requirements
Update loan interest rates as needed, ensuring adherence to rate schedules and proper system maintenance
Update insurance for loans in flood zones, ensuring documentation is accurate and compliant
Daily review of exception reports, ensuring timely identification and resolution of outstanding items
Communicate effectively with Management, Auditors, Vendors, and other bank personnel
Adhere to all bank and department personnel policies and procedures
Perform other reasonably related job responsibilities as assigned by immediate supervisor and other management as required

Required

Minimum of 3 years working in a Loan Administration environment
