Expert Office Administrator

They are seeking an Expert Office Administrator responsible for managing physician and expert schedules and ensuring smooth daily operations for IMEs/Expert Consultations. This role involves significant calendar management, communication with various stakeholders, and a mix of remote and in-office work.

Responsibilities

Obtaining the monthly availability for the regular experts and approving additional experts to be added to the calendar
Maintaining the internal NYC/Brooklyn calendar
Responsible for traveling to the Manhattan and Brooklyn locations 2-3 times a week to assist with IMEs/ Expert Consultations that are scheduled
Knowledge of scheduling and calendar management systems to coordinate multiple experts and appointments efficiently
Strong organizational skills with the ability to prioritize tasks and maintain accuracy under shifting deadlines
Effective communication abilities for interacting with physicians, experts, legal representatives, and internal staff
Attention to detail to ensure medical records, calendars, and QA tasks are completed correctly and on time
Problem-solving skills to address scheduling conflicts, office needs, and process inefficiencies
Ability to work independently and collaboratively across departments while maintaining professionalism
Flexibility and adaptability to travel regularly between office locations and adjust to evolving operational needs
Basic technical proficiency with Microsoft Office Suite, spreadsheets, and data entry systems
Onboarding existing experts on Imedview’s panel to perform exams or evaluations in our Manhattan/ Brooklyn offices
Ensure the internal calendar is up to date and data is entered correctly
Ensure the Manhattan/ Brooklyn offices are stocked with the necessary supplies and maintain a clean environment
Appointment confirmations for all Imedview city appointments; confirm legal reps
Complete all QA Tasks for all Imedview appointments
