Scheduling Analyst
Mecklenburg EMS Agency (Medic) is seeking a Scheduling Analyst to manage and administer their timekeeping software and scheduling processes. The role involves creating operational schedules, monitoring efficiency, and handling payroll for employees while ensuring optimal resource allocation for call demand.

Responsibilities
Administers the timekeeping software
Assigns field and support employees to work schedules though scheduling software
Creates daily operations schedules and staffs according to deployment requirements
Prepares operations schedules using the most financially sound method to minimize overtime and avoid unnecessary payroll expenses
Updates employee profiles for qualification, class and various status changes
Performs advanced scheduling of personnel by creating and maintaining unit profiles
Receives and responds to overtime requests and cancelations via scheduling software and email
Identifies areas of financial waste, recommends and/or implements new processes for accountability and efficiency
Carefully monitors scheduling procedures in order to achieve optimal scheduling of resources for call demand
Maintains employee records and user access/security roles to scheduling software system
Presents an operational overview to new employees and leadership to include terminology, explanation and the use of the scheduling software system, and provides training or retraining when necessary
Process payroll for all Agency employees including auditing timecards for all employees ensuring accuracy of payroll
Investigate payroll issues and prepare corrections for processing as needed
Performs analysis of historical demand, employee attendance and other scheduling data for use in maintaining a realistic basis for future planning and forecasting
Uses analytical results to create new shifts or edit current shifts for the annual shift bid and prepares staffing graphs for management review/approval
Focuses on management of the system and balance of unit hour production and demand needs
Assists in the annual shift bid
Responsible for maintaining various scheduling metrics and reports for leadership
Prepares technical reports and visualizations as needed
Prepares and presents daily ‘Operations Briefing’ report
Collaborates with Agency department to obtain reports from public relations, logistics, communication, NET, IT and special operations related to system demand and needs
Participates in agency improvement initiatives
Supports the Scheduling Specialist as needed
Other duties as assigned by supervisor

Required

Experience in general office work and Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) with the ability to create and maintain databases, transcribe documents, compose correspondence and communicate via e-mail
Must possess the ability to multi-task in a stressful environment while remaining well organized

Must possess strong written and oral communication skills
Must possess strong customer service skills
Must have the ability to prioritize and manage multiple tasks simultaneously

Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
Preferred
B.A./B.S. preferred
Related experience and/or training or equivalent combination of education and experience preferred
Previous experience with timekeeping/scheduling software and prior knowledge in EMS operations is strongly preferred, however not required
