Accounts Receivable Specialist

LHH is a company seeking an Accounts Receivable Specialist responsible for managing high-volume customer transactions in a retail environment. The role focuses on processing retail deductions, applying customer payments, and ensuring timely cash flow while supporting financial reporting and collaboration with various teams.

Human Resources

Responsibilities

Review, research, and resolve large volumes of retail deductions, including shortages, pricing disputes, returns, freight variances, and compliance charges
Apply customer payments daily, ensuring accurate matching of remittance details, short pays, and unapplied cash
Monitor, download, and update information from retailer portals (e.g., Walmart, Target, Amazon, Kroger, and other major accounts)
Validate documentation such as invoices, PODs, contracts, and agreements to determine deduction validity
Collaborate with sales, supply chain, customer service, and finance teams to investigate and resolve customer disputes
Maintain organized deduction logs and provide regular reporting on outstanding balances, trends, and recoveries
Prepare and submit appeals or disputes through customer portals with supporting evidence
Reconcile customer accounts and identify opportunities for process improvement or error reduction
Assist with month-end AR close activities, including reconciliations and aging analysis
Communicate with customers professionally regarding outstanding balances, short payments, and necessary documentation
Support audit requests and compliance reviews as needed

Required

Experience in accounts receivable, retail deductions management, and cash application
Working knowledge of high‑volume retail portals and vendor compliance programs
Strong analytical and problem‑solving skills with high attention to detail
Proficiency with ERP systems and Microsoft Excel (VLOOKUP, pivot tables, data validation, etc.)
Ability to manage competing priorities in a deadline-driven environment
Effective written and verbal communication skills
Adaptability to evolving customer requirements and portal workflows
