Responsibilities
Client Onboarding: Shepherd a seamless new client onboarding experience with proactive communication at each step. Tasks include client profile setup in the CRM, account opening, beneficiary elections, asset transfers (ACATs, DTCs, rollovers, etc.), transfer reconciliations, complex asset research and re-registration, and client portal setup
Account Service: Monitor and process annual RMDs, review account titling, beneficiaries, and trusted contacts, maintain current contact information, review client communication and tax document delivery preferences
Technology: Navigate and maintain several technology platforms that support client relationships including CRM, portfolio reporting, financial planning, tax planning, estate planning, and more
Client Meetings: Assist financial planners with document intake, organization, and review. Log and maintain meeting notes. Discern and implement meeting action items. Assist the client’s advisory team in measuring progress toward implementation goals
Trust & Estate Coordination: Track estate plan documents, trustee actions, distribution calendars, insurance trust premiums, and beneficiary records
Philanthropy: Support client DAFs and private foundations through contribution processing, grantmaking, and recordkeeping
Family Engagement: Coordinate family meetings, prepare and print agendas, briefing materials, summaries, and meeting minutes. Monitor and execute on family gifting program, ensuring seamless processing and proactive communication to family members
Cash Management: Monitor account cash levels, upcoming and future cash needs, and ensure timely cash flow processing
Alternative Investments: Process capital calls and distributions, review investment titling, file subscription agreements, capital statements, and quarterly fund updates
Tax Coordination: Integrate new, closed, or transferred asset information to annual tax organizer. Facilitate document flow to client CPAs. Schedule periodic or year-end tax planning calls with the client’s advisory team
Concierge Services: Liaison with insurance agents and lenders to discern and respond to client underwriting needs. Securely store and organize sensitive client documentation. Assist financial planners and technology professionals in initiating external data access and third-party contact relationships for consolidated client reporting
Qualification
Required
Bachelor's degree
Proficiency in Microsoft Office products
1-3 years of experience in an RIA, multi-family office, private bank, trust company, or related wealth management environment
Ability to work independently and collaborate with a team
Innovative, identifies opportunities to streamline workflows and improve client experience
Impeccable attention to detail, confidentiality, and follow-through
Ability to prioritize multiple time-sensitive tasks
Preferred
Series 65 license
Strong grasp of Family Office domains – entity/trust fundamentals, tax return and tax form basics, cash management, philanthropy workflows, and alternative investment logistics
Demonstrated client service excellence with UHNW/HNW families
Experience with Charles Schwab, Salesforce platforms, and/or Black Diamond
