Billing Coordinator

They are seeking a full-time Remote Billing Coordinator to coordinate monthly billing in a fast-paced environment, ensuring accurate processing of invoices and providing excellent customer service to clients and staff.

Responsibilities
Process a high volume of daily invoices accurately and efficiently, following established billing procedures and guidelines
Review, edit, and track proformas in response to requests from attorneys and legal administrative assistants, with guidance from senior billing team members as needed
Respond to billing-related questions from clients, attorneys, and internal staff via email and phone, escalating complex issues when appropriate
Maintain accurate records of client billing requirements, including billing formats, rate information, and matter-specific instructions
Update and track changes to billing requirements in billing systems and documentation
Ensure invoices comply with firm policies and client billing guidelines, following provided training and resources
Identify and flag billing discrepancies or errors and assist in resolving them in a timely manner
Support month-end billing activities, including invoice processing and basic reporting tasks
Work collaboratively with the billing team, attorneys, and administrative staff to support timely and accurate billing
Maintain organized records and documentation to support billing accuracy and follow-up
Contribute to a professional, responsive, and service-oriented experience for both internal and external stakeholders
Qualification
Required
High school diploma and 3+ years of related billing experience required; some college coursework preferred
Comfortable working in a fast-paced, deadline-driven environment with competing priorities
Strong organizational skills with a high level of attention to detail and accuracy
Ability to manage multiple tasks simultaneously while meeting client and departmental deadlines
Clear and professional written and verbal communication skills, with the ability to interact effectively with attorneys, clients, and internal staff
Basic analytical and problem-solving skills, with the ability to identify discrepancies and ask questions when something does not look right
Commitment to delivering high-quality customer service to both internal and external stakeholders
Willingness to learn, take direction, and develop new skills within a structured billing environment
Proficient in Microsoft Office applications, particularly Outlook, Excel, and Word
Preferred
Prior billing, accounting, or administrative experience in a professional services environment preferred
Experience with legal billing or accounting software (such as Elite 3E or similar systems) is a plus, but not required
Interest in contributing ideas or suggestions to improve billing processes and procedures as experience grows
