Responsibilities
Handles all day-to-day activities and serves as one of the contacts for assigned clients
Assists with the preparation of client proposals and estimates
Leads project kickoff meetings, presenting key deliverables, initial Spec Sheets, timelines, and budgets
Monitors project budgets and schedules daily; keeps track of the progress of clients’ projects
Catches project scope creep
Accountable for staying within agreed upon budget and informing all parties of any changes to scope/assumptions/issues that arise
Manages and updates project work-back schedules
Identifies and proactively resolves any deliverables that might fall behind schedule
Manages tactical quality (specs) of all client partner deliverables
Ensures smooth handoff of deliverables from Creative Services and Digital Services
Reports on project success criteria, including schedule, budget, and client sentiment
Works creatively and innovatively to problem-solve and projects without a clearly defined 'process' or with unclear deliverables
Manages and supports multiple concurrent, complex projects and clients
Serves as the primary point of contact and account lead for some key client accounts
Responsible for the consistent successful facilitation of project(s) from estimation through launch and maintenance
Manages project transactions (reviews and adjusts) on a weekly basis to ensure they remain on-time and on-budget
Schedules, facilitates, and circulates notes and action items for internal check-in meetings
Gathers project assets prior to the start of a project
Creates and maintains server files/ folders
Supports unassigned client projects
Leads team meetings in the director's absence
Provides feedback, advice, and guidance to junior team members
Participates actively in the evaluation, creation, and modification of team processes, templates, practices, and tools
Delegates tasks and assignments as needed to other team members
Facilitates estimate development, negotiates with vendors to ensure the best rates, and confirms vendor(s) selection and final production schedules for print and production work
Hands off print/production-ready files to vendor(s) for production
Ensures all project outside costs are accurately represented in Kantata
Ensures all project outside costs are accurately coded and represented in internal billing systems
Reviews client-facing estimates, scopes of work, and internal estimation documents created by the PMs prior to submitting to the director for approval and input into Kantata
Manages project pulse reporting
Trains new and existing employees on Kantata use and best practices; acts as a primary point of contact amongst internal teams for Kantata-related questions
Qualification
Required
In Gainesville, FL, or willing to relocate to the area
2-3 years of agency experience
5+ years of experience in a project management role
Preferred
Advanced project management skills, including strong attention to detail and ability to manage multiple demands simultaneously in a fast-paced environment
Excellent communication, organizational, and problem-solving abilities
Thorough understanding of studio/graphic arts and creative workflow processes
Strong working knowledge and proven experience with digital development and production processes and techniques (web, mobile, social, etc.)
Flexible, with proven ability to conform to shifting priorities, demands, and timelines through analytical and problem-solving capabilities
Adept at conducting research into project-related issues and products
