OMNI Administrative Assistant

Omni Air International is a private airline providing tailored passenger and government charter services. The OMNI Administrative Assistant will manage front reception duties, assist with logistics for customer visits, and provide administrative support to the President and other teams.

Responsibilities

Manage the front reception area, welcome guests/visitors and distribute badges, answer phones and transfer calls as appropriate, receive, sort, and file mail, sign for packages and notify receiving parties
Update and maintain temporary badge audit as per TSA requirements
Assist with logistics support for customer visits and meetings and conference room preparation
Order, distribute and keep track of office supplies, business cards, branded materials, etc
Provide administrative assistance and project management to the President as needed
Assist with Sales, Marketing and Business Management team projects as needed
Oversight and management of special projects and committees
Other duties as required

Required

Must hold a valid driver's license
Strong organizational and analytical skills
Professional proficiency in oral, written, and interpersonal communication skills
Maintain high confidentiality
Ability to manage multiple projects with various completion requirements in time-sensitive environments
Advance proficiency in Microsoft Office Suite, including Outlook, Word, PowerPoint and Excel
Must be able to pass a 10-year Background/Criminal check and pre-employment drug screen
Must be legally authorized to work in the United States for any employer without sponsorship
High School Diploma or G.E.D
2-3 years' experience as an Administrative Assistant
Ability to handle numerous activities at once and complete in a timely manner
Work with limited supervision and possess an impeccable attention to detail, excellent customer service and organizational skills required
Must be able to identify and resolve problems in a timely manner, gathering and analyzing information skillfully with detail
Ability to make decisions which have significant impact on the department's credibility, operations, and services
Ability to develop business resources, compose letters, outlines, memoranda, and basic reports

Preferred

Administrative and supervisory experience preferred
Social media skills
Aviation industry experience a plus
