Responsibilities

Provide pro-active executive administrative support to CHRO, CMO, and additional support to Leadership Team members as needed including management of team calendar and operating system, and coordination of team meetings and events
Manage and schedule the CHRO’s and CMO’s calendar including prioritizing and resolving related conflicts and competing demands, proactively scheduling important meetings with internal and external individuals, and maintaining an organized global function
Organize and coordinate domestic and international travel accommodations and plans; prepare expense reports in line with company policies and procedures
Draft and prepare correspondence, presentations, and internal communications to support key business initiatives
Compose, proofread and answer routine correspondence; prepare selective summaries and any follow-up actions for the CHRO and CMO
Coordinate, plan, and organize small-to large-scale meetings, both onsite and via Microsoft Teams Live
Develop, prepare, monitor, and maintain special projects and programs as requested

Required

Preferred college degree or equivalent experience in business management or related field, or training / experience in executive assistant skills, office management and/or administrative studies
A minimum of 7+ years supporting C- Level Executives
High level of proficiency in Microsoft Office 365 applications including PowerPoint, Excel, Word, and Teams; with the desire to learn evolving technology platforms to help support overall communications
Demonstrated proactive approaches to problem-solving with strong decision-making capabilities coupled with an ability to be a resourceful team player who is extremely effective independently
Proven time management and organizational skills including the ability to manage calendars and effectively maintain records and files
Expert level written and verbal communications
Very strong interpersonal skills and the ability to build professional, and welcoming relationships with stakeholders, including board members, external partners and external candidates
Demonstrated ability to achieve high-performance goals in a growing and fast-paced environment, and able to deliver on various competing demands
A strong sense of confidentiality and urgency in all tasks and the highest level of support and response with concise communication
Experience in organizing meetings, preparing and monitoring event budgets, assisting with travel (domestic & international)
