ETC Training Assistant

Responsibilities

Preparing flyers announcing class
Posting classes on the VFIS website
Setting up electronic and hard files
Preparing rosters applicable to class size
Receiving registrations on-line, via fax and regular mail
Adding participants to rosters and invoicing for classes
Making certain money due is invoiced/paid
Generating certificates as needed
Preparing files/rosters for imaging
Handling customer questions/concerns received via CSAPPS emails and telephone
Working with Marketing, Ed Specialists, RDs, agents and brokers to promote additional classes and services
Establishing and maintaining applicable databases
Processing accounts receivables and payables as required
Reviewing forms and documents for grammar and formatting
Using RCT, assists in the closeout of classes and imaging to the UW file
Runs various performance reports using various software
Serves as back-up to Risk Control Service Coordinators and Distance Learning Coordinator as needed

Required

Graduation from high school with appropriate course work in English and math leading to strong verbal and written communication skills
Minimum three (3) to five (5) years experience in an office environment interfacing with customers and executing transactions
Proficient knowledge of Microsoft Office, in particular Word and Excel, and other software applications including invoicing software
General experience with office administration (files, records, reports, etc.)
The ability to effectively communicate with other associates, prospects, clients, agents, and brokers
Self-motivated with high level of initiative
Ability to make decisions and exercise sound judgment on a consistent basis within scope of authority
Highly organized with ability to complete tasks on a priority basis and maintain consistently high quantity and quality work
Ability to follow through independently as required
Ability to cope with constant interruptions while maintaining a high level of composure and concentration
Ability to consistently project a positive and cooperative image to agents, clients and associates

Preferred

2-year college degree preferred
Minimum two years experience in an emergency service organization or familiarity with emergency service organizations is preferred
Proficient proofreading skills desired
Proficient with Webinar set-up, administration and delivery
