Responsibilities
Greet and check in patients in a courteous, professional, and timely manner
Manage appointment scheduling, rescheduling, and cancellations
Answer phone calls, respond to messages, and direct inquiries appropriately
Verify patient information, insurance details, and required documentation
Collect copays and process payments as needed
Maintain accurate records within the electronic health record (EHR) system
Coordinate with clinical and administrative staff to ensure smooth patient flow
Uphold HIPAA standards, office policies, and professional boundaries
Assist with general administrative tasks to support clinic efficiency
Verify eligibility and request referrals
Qualification
Required
High school diploma or equivalent required
Strong interpersonal and communication skills, both verbal and written
Ability to maintain professionalism, discretion, and confidentiality at all times
Working knowledge of scheduling systems, electronic health records (EHR), and basic office software
Excellent organizational and time-management skills with strong attention to detail
Ability to multitask, prioritize responsibilities, and adapt in a fast-paced environment
Strong problem-solving skills and ability to manage difficult or sensitive interactions calmly
Dependable, punctual, and able to work collaboratively as part of a team
Preferred
additional education or training in healthcare administration
Prior experience in a medical, behavioral health, or customer service–focused setting
