Responsibilities

Welcomes on-site visitors, determines nature of business, completes visitor check in and announces visitors to appropriate personnel
Updates welcome sign and the flat screen each day with visitor’s names
Monitors visitor access and issues passes when required
Answers incoming telephone calls and greets callers warmly, determines purpose of callers, and forwards calls to appropriate personnel or department
Answers questions about organization and provides callers with address, directions, appropriate staff members to talk to and other information
Retrieves messages from voice mail and forwards to appropriate personnel
Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable
Assists with organizing employee events, setting up event space, arranging catering, and assisting with the event
Orders lunches for company meetings and events and ensures meeting space and other requirements are taken care of
Receives, sorts, and routes mail, and maintains internal employee mailboxes
Responsible for updating and maintaining the main business phone list
Responsible for adding monthly birthdays and anniversaries to the facility flat screens
Manages the employee birthday and anniversary card program for human resources
Assists Human Resources with preparing work spaces for new hires, provides basic supplies, creates and manages employee badges
Completes service billings for the aftermarket department
Assists with assorted department projects and performs a wide variety of clerical duties as needed, such as data entry, running reports, filing and photocopying
Maintains lobby area including restocking snacks and beverages, watering plants and maintaining a neat and clean professional appearance
Books flights, cars and hotels for employees through the Egencia booking system
Reviews and approves expenses for select managers
Manages office supply program, including kitchen paper products, and orders additional items and replacements as needed

Required

Six to twelve months related experience and/or training; or equivalent combination of education and experience
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations
Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
Manufacturing Software (BPCS), Accounting software and MS Office
A professional appearance and outgoing personality with the ability to greet visitors and make them feel welcome is required
The ability to multi-task and stay on track with many different items, following them all through to completion
