Property Administrator
Confidential is a fast-paced Real Estate Company seeking a self-starter with a strong work ethic for the role of Property Administrator. This critical, hybrid role combines office administration, front-desk reception, and hands-on property management support, ensuring smooth operations and effective communication with tenants and vendors.

Responsibilities
Utility Coordination: Manage the time-intensive process of transferring utilities for tenant move-ins and move-outs. Must have the patience and tenacity to stay on the phone with utility providers daily to ensure accurate service transfer
Move-In/Move-Out Processing: Grant access via ButterflyMX, issue key fobs, and manage parking windshield tags. Program and create physical key fobs for new residents. Manage digital access via Yardi software and ensure resident connectivity. Close out tenant water bills in the NES system promptly upon move-out
Active Tenancy: Fielding calls about noise complaints, parking disputes, or package delivery issues. Sending out building-wide community notifications (e.g., "Water shut off tomorrow," "Elevator maintenance")
Township & Project Logistics: Drive to various townships to drop off plans, apply for/pick up permits, and make payments
Site Support: Meet subcontractors at different locations to retrieve items or drop off materials
Document Management: Print large-scale plans on the plotter printer and prepare materials for executive meetings
Purchasing & Research: Research materials needed for specific properties, negotiate pricing with vendors, and execute purchases
Front Desk: Act as the first point of contact; answer incoming calls, respond to emails, and greet visitors professionally
Mail & Couriers: Sort and distribute incoming mail daily. Manage outgoing correspondence, specifically Certified Mail and Post Office runs. Handle FedEx and UPS shipments
Office Operations: maintain office supply inventory daily and run errands to keep the office stocked
Service Inbox: Monitor the maintenance email inbox and dispatch requests immediately
Scheduling: Call tenants to schedule service visits and coordinate directly with maintenance staff to ensure everyone is on the same page regarding access and timing
Vendor Billing: Call vendors to correct pricing errors on bills or dispute/remove incorrect charges
Qualification
Required
Prior Property Administrator experience or be a recent college grad who wants to learn and work hard
Self-starter with a strong work ethic who can work independently
Valid driver's license and reliable vehicle for township runs and property visits
Strong ability to multitask (e.g., switching between invoice auditing, permit applications, and tenant calls)
Ability to follow up keenly important
Preferred
Experience with Yardi is highly preferred
Proficiency with ButterflyMX, HomeIQ, NES, and plotter printers is a plus
