Responsibilities
Perform financial record-keeping operations related to moderately complex elements of the District’s accounting activities involved in student accounts, warehouse or other assigned accounts; assure timely and accurate processing and recording of financial records
Process payments of contracts, leases, time cards, consultants, presenters and other payables; assure proper authorization, signatures, Board approval and other related elements are maintained for payment; make calculations, receipt and process payments; make required journal entries to charge back to school sites and departments
Maintain accounting records for incoming and outgoing warehouse and custodial supplies to schools and District sites; post warehouse receipts into computer terminal from purchase order invoices; post inventory adjustments and journal entries to accounts; prepare spreadsheets and reconcile records as required
Operate a computer terminal in posting receipts and expenditures to various accounts; verify expenditures in accordance with established procedures, maintaining control accounts and balancing accounts and taking trial balances
Calculate, prepare and check financial and statistical reports and statements of District educational activities
Audit invoices prior to payment; check and assure proper procedures and payments are maintained
Interpret and apply appropriate rules and regulations; answer questions regarding financial and accounting procedures, account balances and related matters
Maintain accounting records of transactions, deposits, checks, journal entries and fund raisers for elementary student funds; input related journal entries; prepare monthly substitute report as required; run balance sheets, ledgers and related records and distribute to school sites
Receive and review requisitions for elementary student funds; assure expenditures are correct; audit invoices and make corrections as necessary
Write checks as directed; enter information from requisitions into computer; attach checks to invoices and submit to supervisor for review and signature; distribute checks to school sites or vendors and maintain related check registers and related records
Process payments to employees attending conferences; assure appropriate signatures and approval for budget expenditures and codes according to established procedures; write checks from District revolving fund for registration, lodging and travel costs; prepare related records
Prepare billings for insurance benefit recipients; receive information on eligible employees; update information and record billing and payment information
Process billings for transportation and facilities use activities; receive information from payment, accounts payable and school sites to prepare billings for clubs, groups and other outside agencies; receive and follow up on overdue payments
Operate a typewriter and accounting, adding, calculating and other office machines
Assign and provide work direction to others as assigned
Perform related duties as assigned
Qualification
Required
High school diploma or equivalent supplemented by either college-level course work in bookkeeping and accounting or increasingly responsible experience in financial record-keeping work
Methods, practices and terminology used in bookkeeping and financial record-keeping
Financial and statistical record-keeping techniques
Techniques of utilizing related accounting clerical software
Budgeting and coding procedures
Basic accounting practices, procedures and terminology
Modern office practices, procedures and equipment
Principles of training and providing work direction
Verify, balance and adjust accounts
Post data and make arithmetic calculations rapidly and accurately
Apply bookkeeping and financial record-keeping practices to the maintenance of assigned accounting records
Perform clerical accounting duties in the maintenance of assigned accounts
Type memoranda, reports and correspondence
Read and compare numbers and detect errors efficiently
Operate a computer terminal for financial records posting, filing and maintenance
Assign and review the work of others
