Responsibilities
Greet patients in person or over the phone and update insurance and demographic information in the practice management system
Verify insurance coverage and ensure the physician accepts the patient’s insurance prior to or upon arrival
Communicate patient arrival to appropriate staff and ensure medical records are available for providers
Process and update HIPAA documentation and other required institutional forms
Collect referrals and insurance authorizations as required
Monitor waiting room status and keep patients informed of wait times
Collect patient co-pays following established cash control procedures and provide receipts
Schedule follow-up appointments as needed and provide guidance on requesting medical records
Answer incoming calls and schedule patient appointments
Initiate appointment reminder calls when needed
Perform basic charge entry or payment entry tasks as assigned (duties are mutually exclusive per role)
Adhere to HIPAA and all governmental and state regulations regarding protected health information (PHI)
Perform other related duties as assigned
Qualification
Required
Minimum 1 year of experience in a physician practice or medical office
High School Diploma or GED required
Strong keyboarding and computer skills
Excellent interpersonal, communication, and customer service skills
Ability to communicate effectively with multicultural and language-diverse patient populations
Professional telephone etiquette
Ability to adapt in a growing and changing healthcare environment
Preferred
Prior experience with physician scheduling systems preferred (IDX or similar systems a plus)
Knowledge of medical terminology strongly preferred
