Responsibilities
Provide administrative support to financial advisors and office staff
Prepare, format, and edit correspondence, reports, spreadsheets, and client documentation using Microsoft Word and Excel
Assist with organizing and maintaining client files, investment records, and financial documentation
Manage calendars, schedule client appointments, and assist with client communications
Perform accurate data entry related to client accounts, transactions, and internal tracking
Support CRM usage, including updating client information and tracking interactions
Handle incoming calls professionally and provide a high level of client service
Assist with mail processing, scanning, filing, and general office duties
Maintain strict confidentiality and compliance when handling sensitive financial information
Qualification
Required
Strong proficiency in Microsoft Word and Excel
Excellent attention to detail and organizational skills
Strong written and verbal communication skills
Proven reliability, professionalism, and ability to manage multiple tasks
Comfortable learning additional financial terminology and processes as needed
Maintain strict confidentiality and compliance when handling sensitive financial information
Preferred
Previous administrative experience in a financial advisory firm, investment firm, or related financial environment
Working knowledge of financial terminology and acronyms (such as assets, portfolios, investments, AUM, IRA, etc.)
Experience working with CRM systems
This position does not require financial licenses, but familiarity with the financial industry is strongly preferred
