Volunteer Manager & Client Care Specialist

WayPoint Resources is a nonprofit organization that provides essential services to the community. The Volunteer Manager & Client Care Specialist will oversee volunteer management and coordinate client care, ensuring efficient engagement with both volunteers and clients during service hours.

Responsibilities

Develop and implement strategies to attract, recruit and place volunteers
Coordinate recruitment and onboarding for individual volunteers, regular volunteers and group volunteer inquiries and events
Manage the application intake, volunteer tours and placement of volunteers
Ensure a smooth and welcoming onboarding process that introduces volunteers to the culture and expectations at WayPoint; this includes being on site for the volunteers first training shift
Deliver and/or coordinate orientation and initial training for new volunteers
Collaborate with the lead of each functional area to provide on-going role-specific training as needed ensuring volunteers are prepared, supported and confident in their roles
Ensure all volunteers completed required compliance trainings (ie Civil Rights Training)
Maintain and update the volunteer management system, ensuring accurate volunteer profiles, onboarding status and training records
Oversee volunteer scheduling, hours tracking and communications within the system
Fill open shifts for upcoming week by calling, emailing and communicating with volunteers
Collect and confirm shift needs from each functional area
Ensure database is maintained to reflect current needs for each functional area
Generate reports and data summaries to support program planning, grants, hours verifications (ie Silver Cord, corporate VTO etc.) and program evaluation
Troubleshoot system issues and support volunteers navigating the platform as needed
Foster a positive, inclusive and connected volunteer community through consistent communication and relationship-building
Create volunteer feedback opportunities (such as surveys) to understand volunteer needs
Develop strategies and identify opportunities that reward and recognize volunteers and strengthen volunteer engagement and long-term retention
Plan and execute meaningful recognition efforts to celebrate volunteer contributions and milestones
Build and maintain relationships with community organizations, schools, businesses and corporate partners to expand volunteer recruitment opportunities
Represent WayPoint Resources at community events, volunteer fairs, and presentations to increase visibility and engagement
Develop outreach materials and collaborate with staff to promote volunteer opportunities across various channels
Responsible for requests for incoming tours or one-off volunteer groups and ensures tours are conducted in alignment with organizational goals
Welcome all clients and guests with compassion and professionalism
Complete intake procedures for new and existing clients by collecting documentation, verifying eligibility, and entering data accurately
Direct clients to appropriate services based on their needs (food pantry, clothing closet, navigation support, etc.)
Share information about additional programs and services available at WayPoint
Accept in-kind donations and issue receipts

Required

Strong interpersonal and customer service skills
Ability to handle volunteers and client needs with respect, confidentiality, and grace

Effective problem-solving and critical thinking skills
Strong computer skills; proficiency with Microsoft Office products
Comfortable working with diverse individuals and situations

Preferred

Experience in volunteer management, social work or related role preferred
Experience in nonprofit, social work or human services a plus
Bilingual abilities are a plus
Experience working with Volunteer Management Systems, VolunteerLocal experience a plus
