Responsibilities

Manage daily office operations, including front desk responsibilities and multi-line phone systems
Coordinate dispatch activities to ensure timely and accurate delivery of services or products
Oversee schedule management for staff, vendors, and clients using calendar management tools
Supervise event planning and assist with training & development initiatives
Handle vendor management, including onboarding and maintaining professional relationships
Manage human resources functions such as payroll, staffing, and employee records
Perform bookkeeping, budgeting, and basic accounting tasks using QuickBooks or similar software
Maintain filing systems and ensure proper documentation of all office activities
Provide exceptional phone etiquette and customer service to clients, vendors, and team members
Assist with medical office management or related administrative duties as needed
Support team management efforts by supervising staff and ensuring efficient workflow

Required

Proven experience in office management, administrative support, or clerical roles
Strong organizational skills with the ability to multitask effectively

Knowledge of vendor management, bookkeeping, payroll, and budgeting processes
Proficiency in handling front desk operations and multi-line phone systems
Ability to manage human resources functions including employee records and payroll processing
Demonstrated professionalism with strong phone etiquette and customer service skills

Preferred

Supervising experience or team management skills
Familiarity with event planning and training & development activities
Prior experience in medical office management or related fields is a plus
