ADMINISTRATIVE ASSISTANT II - 79010020
The State of Florida is responsible for licensing and regulating various businesses and professionals. They are seeking an Administrative Assistant II to handle administrative functions within the Bureau of Public Engagement, including managing calls, scheduling appointments, and assisting with hiring packages.

Responsibilities
Answering telephones and routing calls to the appropriate staff members, opening incoming mail and routing to the appropriate individuals, scheduling appointments, organizing, filing and maintaining paper as well as electronic files
Interface with the public and will help provide pertinent information to callers
Compile and maintain various reports and records for the RTS supervisor
Arrange travel schedules and reservations as well as help maintain the calendar(s) and coordinate meetings for RTS team
Assist the RTS Supervisor with hiring packages for new staff members including, but not limited to, scheduling interviews and work samples, collecting documents from the applicants, compiling documents and information for the hiring package, and sending scanned documents to the Division HR Liaison
Greets and welcomes visitors, determines the nature of their business, and directs visitors to employer or the appropriate person
Performs other related work duties as required
Qualification
Required
Two (2) years of relevant experience in customer service and administrative functions
Ability to work independently
Ability to plan, organize and coordinate work assignments
Ability to communicate effectively to members within and outside of the organization
Skilled in writing and reading comprehension
Skilled in customer service etiquette
Ability to manage time working on various assignments
Ability to establish and maintain effective working relationships with others
Ability to prepare correspondence and administrative reports
Proficient in the use of technology including software, hardware, and data systems
Knowledge and the ability to apply Florida Statutes, rules and procedures for licensing of professionals
