Responsibilities
Provide high-level administrative support to senior leadership: manage calendars, prioritize email, prepare agendas, and proactively surface action items
Coordinate complex domestic and international travel logistics, visas, and itineraries; handle bookings and reconcile expenses using corporate tools
Draft, edit, and format executive communications, presentations, briefings, and confidential documents with impeccable attention to detail
Schedule and manage virtual and hybrid meetings: prepare materials, take minutes, track action items, and ensure timely follow-up
Act as a reliable liaison between leadership, internal teams, donors, and external partners to route requests and escalate issues efficiently
Lead special projects and continuous-improvement initiatives to streamline workflows and improve executive productivity
Qualification
Required
Proven experience supporting senior executives in a remote environment
Expert calendar management across time zones and complex scheduling
Proficiency with Microsoft Outlook, Google Workspace, and Zoom
Experience with travel booking and expense reporting (e.g., Concur, Expensify)
Preferred
Familiarity with Microsoft Teams or SharePoint for document management
Prior experience in nonprofit or education sectors supporting donor/stakeholder engagement
