Secondary Bookkeeper - High School Athletics and Activities
White Bear Lake Area Schools is seeking a Secondary Bookkeeper for their Athletics and Activities Office. The role involves organizing the activities office, maintaining bookkeeping records, processing invoices, and managing financial accounts related to student events.
Education Management
Responsibilities
Processes and codes invoices, check requests, timesheets and mileage reports for payment
Processes requisitions and generates purchase orders for administrators, department heads and coaches
Manages credit cards and accounts for several district p-cards used by coaches and advisors
Manages several business accounts including BSN, Amazon and Sam's Club
Manages the collection, counting, and depositing of cash and checks
Maintains an awareness of various budget accounts
Works with District financial staff to maintain accuracy of building and activity accounts through journal entries and other communication
Prepares various budget reports for administrators, department heads and coaches
Works with vendors to settle accounts, provide insurance binders and tax status information, as needed
Manages local vendor account activity for building and activity accounts
Follows up on non sufficient fund checks
Assists with the preparation of events by providing gates with money and tickets for distribution and collecting items at the conclusion of events
Tracks ordered and received items for administration, staff and coaches
Issues emergency checks as needed
Assists with the preparation and completion of the opening and closing of the financial year
Addresses inquiries via telephone, in person and through email
Provides customer service to administrators, students, staff, parents, and community members
Serves as a lead to staff; monitors work; provides ongoing direction
All other duties as assigned
Qualification
Required
Performs intermediate skilled administrative support work organizing the activities office
Maintaining bookkeeping records
Receiving and recording monies for student events
Working with accounts payable with invoices
Making deposits
Managing Activities Office credit cards
