Event Content Programming Coordinator

The Event Content Programming Coordinator will contribute to the development and execution of event session tracks, including researching topics, securing speakers, and managing session logistics.

Responsibilities

Responsible for all event content sessions and speakers
Support Senior Manager, Event Programming in building end-to-end agendas for SAPinsider conferences, summits and virtual events
Research SAP market trends, SAP roadmaps and customer priorities to propose timely themes and tracks
Source, vet and organize session ideas, including working with internal stakeholders, sponsors and SAP customers/partners
Draft, edit and standardize session titles, abstracts and learning objectives to SAPinsider style and length guidelines
Build and maintain the event content grid (tracks, days, rooms, time slots) in the event management system or spreadsheets
Coordinate call-for-papers (CFP) processes, including form setup, submission tracking, status updates and communication
Conduct structured research on prospective speakers (SAP customers, SAP, partners, analysts) and maintain a speaker pipeline database
Own speaker outreach logistics (invitation emails, briefing calls, confirmations, bios/photos, AV needs, travel details) under direction of Senior Manager
Prepare programming documentation and internal briefs (run-of-show, session list, speaker status, backup plans)
Support on-site execution for SAPinsider events (speaker check-in, last-minute changes, room monitoring, feedback collection)
Track programming KPIs (submissions, acceptance rates, no-shows, attendance per session, survey scores) and prepare post-event reports

Required

1–3 years in event coordination, program coordination or conference/content production (even if outside tech/SAP)
Demonstrated interest in SAP or enterprise software (coursework, certification, blogging, user groups, internships)
Strong written communication for concise, compelling abstracts and professional speaker outreach
Research skills for understanding SAP topics (S/4HANA, BTP, AI, security, finance, supply chain) at a high level and translating them into audience-relevant content
Project coordination: ability to manage multiple deadlines, sessions and stakeholders similar to a program coordinator role
High attention to detail in agenda grids, titles, speaker data, and change tracking
Proficiency with Excel/Sheets and basic databases or CRM tools for tracking speakers and sessions
Comfortable using virtual collaboration tools and event platforms (Teams/Zoom, event registration or agenda tools)
Experience writing marketing copy, training content, or technical blog posts
Experience supporting senior managers or executives (calendar coordination, prep materials, follow-ups)
Able to travel globally to our events
