Responsibilities
INTAKE - Greet and receive employees, applicants and other visitors and direct/redirect them appropriately
TELEPHONE - Answer multiple lines telephone and direct callers courteously and appropriately
TELEPHONE - Take accurate telephone messages that include caller, date, time, nature of call and who the call is for
INQUIRIES - Answer routine questions regarding department operations and procedures
REQUESTS - Respond to telephone/written requests
FORMS - Distribute forms, packets and information to employees and visitors and ensures forms are accurate and appropriate
SCHEDULING - Schedule appointments and/or meetings for department personnel as assigned
TYPING - Type memos and correspondence as directed by department managers
DATA ENTRY - Perform data entry functions
SUPPLIES - Inventory departmental forms, supplies and equipment regularly and order and restock as necessary
PACKETS - Assemble information packets as assigned
LOGS - Maintain computer logs and files of incoming paperwork
REPORTS - Prepare special reports for management
REPORTS - Create spreadsheets to display statistical data and information for reports
AUDIT - Develop, oversee and conduct various routine and special audits, research and correct data to maintain integrity of programs
Qualification
Required
High School or GED Equivalent
1/2 year (6 months) directly related experience
Preferred
Bilingual English/Spanish
