Responsibilities

Assist attorneys and paralegals with the preparation, formatting, proofreading, and organization of legal documents related to estate planning, probate, trust administration, conservatorships, and related litigation matters
Prepare draft correspondence, court forms, petitions, schedules, notices, and supporting documents under attorney supervision
Coordinate and manage filings with California probate courts, including e-filing, service coordination, and tracking confirmations
Maintain and organize electronic and physical case files, ensuring accuracy, completeness, and compliance with firm procedures
Track deadlines, hearings, court dates, and key case milestones to support timely case progression
Assist with trust and probate administration tasks, including asset documentation, beneficiary communications, and coordination with financial institutions and third parties
Communicate professionally with clients, courts, vendors, and internal team members regarding scheduling, document requests, and procedural matters
Support litigation matters by organizing discovery materials, exhibits, timelines, and hearing binders as directed
Enter and maintain case information, notes, documents, and tasks within PracticePanther or comparable case-management systems
Provide cross-functional administrative support to attorneys and staff as needed during peak workloads

Required

2+ years of experience working in a law firm or legal office environment required; experience in trusts, estates, probate, conservatorships, or related litigation strongly preferred
Practical experience assisting with legal filings, document preparation, and court procedures (California probate experience a plus)
Strong written communication skills with attention to detail and formatting accuracy
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and PDF/document-management tools
Excellent organizational and time-management skills with the ability to manage multiple matters simultaneously
Professional demeanor with strong interpersonal skills and client-facing communication abilities
Ability to maintain discretion, confidentiality, and sound judgment at all times
Proactive, dependable, and adaptable team player who can work independently with guidance

Preferred

Experience in trusts, estates, probate, conservatorships, or related litigation strongly preferred
Experience with PracticePanther or similar legal case-management software preferred
