Office Operations Manager
The Family Planning Council of Iowa (FPCI) is a non-profit organization dedicated to providing quality reproductive healthcare and family planning services to all people. The Office & Operations Manager is responsible for ensuring the smooth, efficient, and organized day-to-day operations of the organization, supporting various internal and external functions.
Responsibilities
Manage scheduling of internal and external meetings, including team, committee, and board meetings
Prepare agendas and take minutes for committee and select organizational meetings
Maintain organized documentation systems for operations, nursing continuing education, inventory, and donations
Serve as a point of contact for partners related to supplies, events, and logistics
Conduct research and provide information for projects as assigned
Order and manage sexual and reproductive health kit (KISS Kit) supplies
Track inventory levels and ensure timely restocking
Document all inventory and donations accurately
Manage the distribution of supplies provided to partner organizations and initiatives (e.g., public health vending machines)
Oversee mailing and fulfillment of sexual and reproductive health kits
Coordinate and manage volunteers assisting with kit assembly and mailing
Ensure compliance with privacy, safety, and logistical standards
Manage external event logistics, including scheduling, registration, travel coordination, and event preparation
Lead FPCI event management, including registration, reminders, surveys, and post-event follow-up
Coordinate tabling and outreach activities, including materials and volunteers
Support CRM software functions, including newsletters, surveys, and donor and constituent communications
Assist with social media, website updates, and content coordination
Engage in research and collaboration with team members and outside agencies to prepare presentations and education sessions as appropriate
Act as an advocate for family planning and reproductive health services in Iowa
Other duties as assigned
Qualification
Required
Experience in office management, operations, or nonprofit administration
Ability to work independently with minimal supervision and with members of a team
Collaborate well in a multidisciplinary team and work with diverse and varied individuals, groups, and populations both internally and externally, cultivating relationships with community stakeholders, partners, and sub-recipient staff
Sound computer skills. Must be comfortable using Zoom and Microsoft Office Products, including Word, Excel, Outlook, and Teams, and hosting conference calls, web-based virtual team meetings, and in-person meetings as necessary
Strong organizational and time-management skills
Excellent written and verbal communication skills
Comfort working with sensitive topics related to sexual and reproductive health
Ability to manage multiple projects and deadlines simultaneously; flexibility to reprioritize due to unexpected changes
Experience coordinating volunteers and events preferred
Knowledge of and interest in community health and operations, including trends and concepts related to family planning, public health, and social services
Commitment to FPCI's mission of providing sexual and reproductive healthcare services to all
Ability to travel across Iowa in a reliable personal vehicle; mileage will be reimbursed at the established FPCI rate to be discussed pre-hire
Occasional travel across the United States for education and training may be necessary and paid for by FPCI
Valid Iowa Driver's License and reliable personal transportation
Current vehicle registration and proof of liability insurance
Preferred
Background/experience in sexual and reproductive health care, public health, and/or social services
Experience with CRM systems (Bloomerang preferred) or willingness to learn
Marketing, communications, social media, graphic design, and/or website updates experience
Benefits
