Office Assistant

Responsibilities
Serve as backup to the Office Administrator to ensure seamless coverage of critical office functions
Provide high-quality administrative support, including travel coordination, expense processing, and scheduling assistance
Maintain office supplies and resources to support daily operations
Coordinate all incoming and outgoing mail and courier services
Manage shared conference room scheduling and serve as primary contact for meetings
Liaise with building management and external vendors to coordinate maintenance requests and resolve facility needs
Support onboarding logistics for new hires, including workspace setup and equipment requests
Oversee daily meal service and coordinate catering and communications for in-office events
Qualification
Required
3+ years of administrative experience, ideally in financial services or other fast-paced environments
highly organized, detail-oriented, and able to manage multiple priorities under pressure
work independently, take initiative, and thrive in a dynamic, collaborative office environment
strong communication skills and a service-oriented mindset
comfortable learning new software and systems quickly
Preferred
Bachelor's degree or equivalent experience preferred
New York State notary certification is a plus
