Responsibilities

Plan, coordinate, and execute in-person and virtual events from inception through post-event follow-up
Host and manage online webinars via Zoom, including scheduling, registration, moderation, and recording
Book venues and negotiate contracts and pricing with vendors and suppliers
Manage event budgets and ensure all costs remain within agreed parameters
Coordinate event logistics, including décor, catering, transportation, parking, traffic control, and health & safety compliance
Ensure events run smoothly and professionally with a high standard of customer service
Assign tasks to team members and provide leadership, training, and motivation throughout the event lifecycle
Serve as the main point of contact for clients and guests of honor before and during events to ensure expectations are met
Conduct post-event evaluations, distribute certifications, submit attendee attendance, and maintain client follow-ups
Prepare and submit continuing education courses to the Florida DBPR via myfloridalicense.com
Manage course approvals, renewals, attendance tracking, attendee certifications, and compliance requirements
Develop and execute event marketing campaigns across multiple channels
Create invitations, promotional materials, and event graphics using Canva
Manage email marketing campaigns for event invitations, reminders, and follow-ups using Constant Contact, including mail merge
Promote events through Instagram, Facebook, LinkedIn, YouTube, TikTok, and other platforms
Post regularly on social media channels, including graphics and videos, to promote the firm and its education programs
Coordinate digital and traditional promotion efforts (social media, flyers, email, and other media as appropriate)
Track engagement and attendance metrics and adjust strategies as needed
Communicate, maintain, and develop long-lasting relationships with clients, partners, and vendors
Manage vendors and suppliers professionally, ensuring quality delivery and timely payment
Review vendor invoices for accuracy prior to payment

Required

Proficiency in Microsoft Word, Excel, and PowerPoint
Experience with mail merge
Hands-on experience with Canva, Constant Contact, and Zoom
Strong working knowledge of Instagram, Facebook, LinkedIn, YouTube, and TikTok
Comfortable using web-based platforms, email, and instant messaging tools
Exceptional organizational, planning, and project management skills
Strong communication, negotiation, and interpersonal abilities
Ability to multitask effectively and perform well under pressure
Creative thinker with the ability to transform ideas into polished, successful events
Detail-oriented with strong budgeting and financial oversight skills
Demonstrated leadership and initiative, with the ability to work independently and collaboratively
Decisive, proactive, and solutions-oriented

Preferred

Bachelor's degree in Business, Marketing, Public Relations, Communications, or a related field, or equivalent professional experience
Proven experience managing in-person and virtual events from planning through execution
Experience with email marketing and submitting continuing education courses to the DBPR is strongly preferred
Experience with professional education programming or continuing education administration
