Responsibilities

Serve as the first point of contact for clients seeking counseling and case management services, providing trauma-informed, client-centered support
Schedule client appointments with counselors and case managers, coordinating availability and client needs
Answer agency phone lines, route calls appropriately, and provide crisis intervention and compassionate assistance to survivors in distress
Provide clients with information on community resources and referrals to external organizations
Coordinate with the SDCC Administrative Assistant to ensure continuous phone coverage during breaks and scheduled absences
Provides daily lunch coverage for the Ann Moody Place receptionist during lunch period from 12:00-1:00 pm
Greet clients, visitors, and guests in a welcoming, trauma-informed manner while maintaining confidentiality and safety
Maintain visitor logs and follow all agency safety screening protocols
Ensure the client lobby area is secure, welcoming, and maintains client confidentiality
Maintain the front desk and lobby in an organized, professional manner that supports client comfort and safety
Coordinate department meetings, outside agency meetings, and special events held at the counseling center
Gather and compile HHSC (Health and Human Services Commission) client data for quarterly grant survey responses
Produce reports for the Program Director to support grant compliance and program evaluation
Assist with updating agency correspondence, policies, statistics, and spreadsheets
Maintain accurate records in the Clients First Database
Assist with onboarding new staff and interns by providing training on the Clients First Database
Orient new hires to building protocols, office procedures, and counseling center operations
Support new team members with essential onboarding tasks and questions
Retrieve and distribute incoming and outgoing mail daily
Maintain and order agency office supplies to ensure uninterrupted operations
Submit Help Tickets for IT, facilities, and purchasing needs
Manage entrance badge cards for new hires and terminated employees
Communicate building maintenance needs to the building landlord and the facilities department
Ensure all administrative functions are performed in-office to maintain the confidentiality and security of client information
Attend agency staff meetings and Program Director supervision meetings
Participate in required domestic violence training and continuing education
Stay current on trauma-informed care practices and crisis intervention techniques
Performs other job-related duties as assigned

Required

High School Diploma
At least two (2) years of experience in an administrative assistant role
Valid Texas Driver's License and a clear driving record
Knowledge of the Microsoft Office program, Outlook, Word, and Excel
Skilled at answering the phone in a kind and compassionate manner
Skills in customer service and working with a diverse population
Ability to organize and maintain an efficient working environment
Ability to take initiative and work effectively as part of a team
Ability to communicate effectively, both written and verbal
Ability to maintain client confidentiality
Experienced at facilitating and leading productive and interactive educational groups for clients

Preferred

Experience in a domestic violence agency preferred, but not required
