Responsibilities
Review and assess discrepancies between the purchase order, invoice, and quantity received (3-way match errors); identify the driver for the mismatch and communicate to appropriate teams for follow-up
Work cross-functionally to track and drive resolution of all invoice payment holds in a timely manner, including incomplete receiving, PO quantity/price corrections, duplicate invoices, and unit of measure discrepancies
Address invoice corrections directly with vendors
Follow up on missing invoices and maintain clear communication between vendors and internal teams to facilitate smooth invoice submission processes
Confirm payment timing with relevant stakeholders and submit emergency payment requests as needed for critical payments
Escalate credit holds and follow up with internal teams to ensure timely resolution, maintaining good supplier relationships
Support management and creation of tax exemption forms as appropriate
Coordinate with procurement to ensure vendor payment terms are accurately maintained
Generate reports to track issues and performance of invoice and order resolution; communicate roadblocks proactively to leadership
Work cohesively with cross-functional teams to support operational efficiency, flexibility, and assurance of supply
Collaborate on process improvements by maintaining open communication and fostering a cooperative environment
Perform other tasks as assigned
Qualification
Required
Bachelor's degree required
0–2 years of relevant experience in order or invoice management
Experience with invoice processing, order management, and 3-way match review
Strong analytical and problem-solving skills
Excellent attention to detail and accuracy
Strong communication skills, including experience handling vendor communications, resolving payment discrepancies, and maintaining professional relationships
Proficiency in ERP systems (e.g., Oracle, SAP, QAD)
