Administrative Assistant

Responsibilities

Open the office each morning, including restocking breakroom supplies and unloading the dishwasher
Maintain a tidy and well-stocked environment, including breakroom and general office supplies
Manage mail: open, sort, distribute incoming items and send invoices to AP for processing
Order and manage inventory of uniforms, swag, and business cards
Create badges for employees and contractors; assist with any questions
Post company communications in office and production areas
Answer and direct incoming calls in a professional manner
Welcome visitors, assist with sign-in, safety policy acknowledgements, and provide workspace if needed
Coordinate customer visits, including conference room bookings, lunch arrangements
Assist with company event planning
Coordinate quarterly engagement events and track participation
Order and distribute recognition items (anniversary gifts, awards, baby blankets, bereavement flowers)
Coordinate community giving, sponsorships, and donation tracking
Manage social media and internal platforms (e.g., Facebook, Retriever) with community news, birthdays, and anniversaries
Send out the weekly schedule every Monday (including visitors and trials)
Approve and process invoices in Global Search
Assist with monthly reconciliation of plant credit card and bank statements
Create PowerPoint slides and order product samples for ownership meetings
Additional Admin duties as assigned by plant management

Qualification

Customer service experienceMicrosoft OfficeMultitaskingIndependent judgementWillingness to learnCommunication skills

Required

Strong communication skills and positive attitude
Willingness to learn and adapt in a technical environment
Ability to pass pre-employment drug screening

Preferred

At least one year of experience in customer service or a related field
Excellent multitasking and independent judgement abilities are required
Computer skills including Microsoft Office, Excel, and Outlook are preferred
Professional attitude in all telephone and in-person interactions
