Responsibilities

Provide administrative support for the ADMS Program’s stakeholder engagement activities
Uses business software applications (e.g. Word, PowerPoint, Excel) to prepare correspondence, reports, presentations, agendas, minutes, etc
Receives, screens and directs incoming calls, visitors, mail and e-mail
Maintains files and calendars
Responsible for arranging business travel, coordinating meeting arrangements, and tracking expenses
Additional duties include providing logistical support, such as meal ordering, access management, hotel and flight coordination, liaising with on-site administrative support, and other logistical needs for ADMS Program team members for on-site events like software deployments, working sessions, and big room planning events
This resource may also be needed to support the facilitation of said events, including development of meeting material, room or site preparation, or assisting the primary meeting owner with ensuring all needs are addressed heading into the event
This resource will also assist the Program Director and other key personnel in scheduling of meetings and other events
Some travel will be required to support these on-site events, anticipated at approximately once per quarter

Required

5 years' experience
Provide administrative support for the ADMS Program's stakeholder engagement activities
Developed knowledge and skills through formal training or considerable work experience
Uses business software applications (e.g. Word, PowerPoint, Excel) to prepare correspondence, reports, presentations, agendas, minutes, etc
Receives, screens and directs incoming calls, visitors, mail and e-mail
Maintains files and calendars
Responsible for arranging business travel, coordinating meeting arrangements, and tracking expenses
Providing logistical support, such as meal ordering, access management, hotel and flight coordination
Liaising with on-site administrative support and other logistical needs for ADMS Program team members for on-site events
Support the facilitation of events, including development of meeting material, room or site preparation
Assisting the primary meeting owner with ensuring all needs are addressed heading into the event
Assist the Program Director and other key personnel in scheduling of meetings and other events
Some travel will be required to support these on-site events, anticipated at approximately once per quarter
Limited physical labor related to moving supplies and food on a cart into and within office buildings
Limited local driving required
Driving may be required for travel to other Duke locations in support of project work
Education Requirements: Associate's Degree
