Greater New Bedford Regional Vocational Technical High School is seeking an Administrative Assistant to provide high-level administrative and operational support to the Directors of Academic Programs and Career & Vocational Technical Education. The role involves coordinating academic and vocational programs, managing communications, and maintaining records while serving as a key point of contact for staff, students, and external partners.

Education

Responsibilities

Provide day-to-day administrative support to the Directors, including calendar management, scheduling, meeting coordination, preparation of agendas, correspondence, and meeting minutes
Screen, route, and respond to communications (phone, email, mail) with discretion and professionalism
Maintain confidential records, files, and documentation related to academic, vocational, and EL programs
Support administrative operations related to curriculum, instruction, Freshman Exploratory process, professional development, and vocational programming
Maintain and monitor grades, records and rosters for the freshman exploratory process, including shop rotations, shop selections data, student counts, and schedule updates
Maintain student and teacher accounts in Go2CTE and ASPEN during the Freshmen Exploratory Process
Draft and distribute communications to students and families related to exploratory placements and shop assignments
Attend relevant trainings related to freshmen exploratory programming, or CVTE initiatives as needed
Assist with administrative operations for English Learner programs, including organizing and maintaining student records
Support ACCESS testing logistics and documentation
Prepare and distribute EL placement, reclassification, and family communication materials in coordination with ESL staff and administrators
Prepare purchase orders, track invoices, reconcile accounts, and submit documentation to the Business Office in accordance with district procedures
Process stipends, tuition reimbursements, addenda, and other personnel-related documentation
Assist with scheduling interviews, maintaining professional development records, and other hiring-related administrative tasks
Serve as a welcoming point of contact for visitors, families, vendors, and job candidates
Assist with coordination of school-sponsored meetings, professional development, advisory committee events, and district initiatives
Support bulk mailings, document preparation, and distribution of school communications
Enter, maintain, and retrieve information using district systems, including the student information system (Aspen), Go2CTE and Google Workspace
Maintain organized digital and physical filing systems to support compliance and operational efficiency
Assist with Advisory Committee meetings, including preparation of materials, mailings, minutes, and attendance records
Support Induction and Mentoring Program logistics, scheduling, and materials
Assist with Senior Awards Night
Assist other administrative offices as needed to support schoolwide operations

Required

High School Diploma required or GED
Strong organizational, time-management, and multitasking skills
Excellent written and verbal communication skills

Ability to work collaboratively with administrators, teachers, students, families, and external partners
Discretion, strong organizational skills, and the ability to manage multiple priorities in a dynamic school environment

Preferred

Advanced education preferred
Two to three (2-3) years of general administrative experience or related field preferred
Experience supporting senior-level administrators in a public school or district setting
Familiarity with Massachusetts public education systems, exploratory programming, CVTE, or EL programming
Fluency in Spanish, Portuguese, or K'iche' highly preferred
