Operations + Office Manager
Bloom Collective is a women-led wellness company based in Chapel Hill, North Carolina, focused on creating thoughtfully designed experiences that support physical well-being and personal growth. The Operations & Office Manager plays a critical role in supporting day-to-day functions and long-term sustainability by organizing systems and managing administrative workflows.
Responsibilities
Organize and maintain digital files, paperwork, contracts, and internal documentation
Manage recurring administrative tasks and operational to-dos
Create and maintain clear, organized systems for back-office workflows
Assist in creating, updating, and maintaining internal policies, procedures, and operational documentation
Help document workflows and improve efficiency across administrative processes
Identify gaps or recurring friction points and propose organizational solutions
Support administrative logistics for retreats, partnerships, and special programs
Assist with documentation, scheduling, forms, and coordination
Assist with staff and contractor onboarding paperwork
Maintain organized records related to team members and collaborators
Track and organize business expenses
Prepare expense summaries and reports
Support basic expense tracking and payroll software
Assist with invoices and contractor documentation
Coordinate meetings for Bloom leadership
Manage calendars and scheduling logistics
Support correspondence with vendors, contractors, and strategic partners
Ensure timely follow-up on outstanding requests
Assist with administrative components of short-term projects
Support leadership with organization, coordination, and execution
Support leadership with organization, coordination, and execution on priority initiatives
Qualification
Required
5+ years of experience in administration, operations, executive support, or a related role (or equivalent experience)
Highly detail-oriented with strong organizational skills
High integrity, discretion, and reliability
Demonstrated ability to work independently, anticipate needs, and manage work with minimal oversight in a remote environment
Proactive and able to manage multiple tasks at once
Technically savvy and comfortable learning new tools and systems
Excellent written communication skills
Availability to meet with Bloom's co-founders and external partners as needed
Experience creating or maintaining organized systems, documentation, or workflows
Alignment with Bloom Yoga Co.'s values and a willingness to learn, adapt, and communicate in a way that clearly represents the Bloom brand with warmth, clarity, and professionalism
Preferred
Experience supporting small businesses, founders, or leadership teams
Familiarity with expense tracking or payroll software
