Executive Assistant to Chief Financial Officer
Florida Conference of The United Methodist Church is dedicated to equipping leaders to make disciples of Jesus for the transformation of communities. The Executive Assistant will support the Treasurer by performing a range of administrative tasks, ensuring smooth communication and confidentiality while managing various special projects.
Responsibilities
Assists with the day-to-day operation of the Conference. Coordinate all aspects of the office
Completes a broad variety of administrative tasks for the Treasurer including coordinating and prioritizing active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging detailed travel plans, itineraries, and agendas
Serves as gatekeeper for the Treasurer. Provides a bridge for smooth communication between the Treasurer’s Office and internal and external departments, demonstrating leadership to maintain credibility, trust, and support with Senior Management
Works closely with the Treasurer for managing and executing a variety of special projects
Prioritize conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
Maintains discretion and confidentiality in relationships with all Senior Management and Board Members
Schedule, coordinate and provide administrative, hospitality and logistical support for office meetings
Assist in the creation and management of Word documents, PowerPoint presentations and spreadsheets
Respond to mail, email, and telephone and fax communications
Maintain inventory and order general office supplies and hospitality items for kitchen
Act as liaison for facility vendors
Perform other general clerical duties
Qualification
Required
5 years as Executive Assistant or Administrative Assistant to Senior Management
Exceptional Microsoft Office Suite skills: Word, Excel, PowerPoint
Outstanding communication skills: oral, auditory and written
Highly proficient in use of appropriate grammar, spelling, and proofreading
Detail Oriented with the ability to prioritize multiple tasks and manage time effectively and in a fast-paced environment
Ability to plan strategically and adapt to changes
Strong decision-making skills with the capacity to anticipate needs and potential challenges
Experience in maintaining Outlook calendars and schedules
Ability to understand and monitor budgets
Self-directed and able to work independently to drive projects to completion
Solution driven, proactive problem solver
