Responsibilities
Oversee all aspects of the Executive Office with a high level of collaboration across departments
Coordinate agendas, relevant documentation, and meeting logistics
Participate in key meetings; capture clear, actionable minutes; track follow-ups; and ensure timely execution
Administer an organized system for meeting records and decision logs
Lead small strategic initiatives from planning through execution
Partner with the GM on organizational structure, priorities, and planning
Function as a reliable point of contact for internal and external stakeholders
Produce polished communications, including emails, memos, and presentations
Document reports and official meeting minutes
Uphold consistent, professional, and timely communication on behalf of the GM
Engage with Senior Management at Head Office and external senior-level executives
Assemble data and prepare reports, presentations, and briefing materials
Leverage digital tools to streamline administrative and operational processes
Champion adoption of efficient workflows, templates, dashboards, and automation
Resolve operational challenges by implementing solutions that enhance executive office efficiency
Qualification
Required
Relevant administrative experience
Ability to manage the GM's calendar, travel, meetings, and daily workflow
Ability to handle confidential information with the highest discretion
Detail-oriented and organized
Ability to manage multiple projects
Willingness and flexibility are mandatory, with the ability to work independently and under tight deadlines
Strong written and oral communication skills
Proficient with Microsoft Office
