Assistant Project Manager - Yarmouth, ME
Hoyle Tanner & Associates, Inc. is seeking an Assistant Project Manager in their Aviation Services division. The role involves supporting project delivery by monitoring progress, coordinating with various stakeholders, and assisting in project management tasks to ensure superior service to clients.

Responsibilities
Monitor project progress and flag potential issues related to scope, schedule, or cost
Coordinate with internal technical staff, subconsultants, and vendors
Assist with preparation of project budgets, fee proposals, and change orders
Lead or support pre-design meetings with FAA, state, and local stakeholders, as determined by the Project Manager
Arrange and coordinate construction staff reviews and internal coordination sessions
Coordinate with resident engineers, design engineers, subconsultants, and internal disciplines to support project delivery
Assure effective team collaboration internally and with subconsultants, escalating coordination issues to the PM as needed
Attend client advisory meetings in the absence of the PM and provide status updates to boards, committees, or authorities on active projects, as directed
Support the PM in project schedule development, including regular check-ins and updates
Conduct weekly schedule reviews to identify delays, conflicts, or resource constraints and recommend corrective actions to the PM
Advise the PM on tasks that are delayed, including potential roadblocks and mitigation suggestions
Assist in defining project milestones, level of effort, and sequencing of deliverables at various project stages
Coordinate with the PM on staffing needs and resource availability to support on-time and on-budget project delivery, recognizing that ultimate responsibility for schedule and budget remains with the PM
Serve as a point of contact for clients when the PM is unavailable, including site visits when necessary
Assist the PM in managing client communications and relationships
Support the PM by identifying emerging client concerns, potential claims, or project risks and communicating them promptly
Qualification
Required
BS or MS degree in Aviation Management (preferred), Civil Engineering or related field
5+ years of experience with increasing technical or planning and leadership experience
