Responsibilities
Own the lifecycle of merchant applications (submitted → approved → handoff)
Triage new application requests and route them correctly
Track application status, missing items, and blockers
Proactively follow up with merchants, banks, processors, and partners
Maintain a single source of truth for application state
Serve as the primary point of contact for updates
Set expectations around timelines, requirements, and next steps
Provide regular status updates to clients without being prompted
Escalate issues early with context and proposed solutions
Coordinate between analysts, operations, leadership, and external partners
Ensure action items are captured in our internal system, assigned, and followed through
Shield analysts and leadership from client noise and administrative work
Manage and delegate tasks to VAs (data entry, follow-ups, document prep)
Create clear instructions and quality checks
Qualification
Required
3–6 years in operations, coordination, or client-facing roles
Experience managing complex workflows with many stakeholders
Ability to prioritize and stay organized across 20-30 simultaneous onboardings
Strong written communication and documentation habits
Preferred
Experience managing or working with offshore resources
Payments, fintech, or agency experience
