Responsibilities
Support daily office operations and administrative needs
Assist the Practice Manager with operational and coordination tasks
Help ensure offices are organized, professional, and functioning smoothly
Escalate issues or concerns to the Practice Manager as needed
Schedule appointments for new and returning clients
Assist with calendar coordination, room usage, and office flow
Respond to general client inquiries and route questions appropriately
Support a positive, professional client experience
Provide administrative support to clinicians as needed
Assist with onboarding and training logistics for new clinicians
Help prepare materials or resources related to office processes
Serve as a point of contact for basic workflow or process questions
Assist with ordering office supplies and coordinating basic maintenance needs
Support facility-related requests and follow up as needed
Help communicate with vendors or service providers when directed
Qualification
Required
2–3 years of administrative or office support experience
Strong organizational and time-management skills
Professional communication skills (written and verbal)
Ability to manage multiple priorities in a fast-paced environment
High level of professionalism and dependability
Preferred
Experience in a healthcare, mental health, or private practice setting
Familiarity with office operations or scheduling systems
Experience supporting multiple team members or locations
