Responsibilities
Greet clients upon arrival, answer multi-line phones, and respond promptly to client emails
Maintain complex therapist schedules and process intake documentation for new clients
Process client and insurance payments, enter data into billing/medical records software, and perform collections on overdue accounts
Assist with credentialing therapists on insurance panels and provide general administrative support to the Office Manager and Director
Manage daily opening and closing procedures to ensure the office is ready for clinical staff and clients
Qualification
Required
Education: High school diploma or equivalent; a combination of education and relevant experience will be considered
Industry Knowledge: Working knowledge of medical terminology and coding (ICD-10, CPT, HCPCS)
Regulatory Familiarity: Understanding of insurance/governmental programs (Medicare, Medicaid, Social Security Disability, CHAMPS) and coordination of benefits
Administrative Proficiency: Strong data entry skills (50–60 wpm) and basic computer literacy
Preferred
Technical Skills: 1–2 years of Medical Billing or Medical Claims experience
Communication: Exceptional verbal and written communication skills with a focus on empathy and professionalism
Organization: Ability to multi-task in a fast-paced environment while maintaining high attention to detail
Accounting: Previous experience with basic accounting or bookkeeping is a plus
