Operations Coordinator

The Operations Coordinator supports day-to-day operational execution by aligning staffing, payroll, training compliance, logistics, and administrative workflows with organizational standards and leadership directives.

Responsibilities

Verify daily crew rosters across all active locations to ensure accurate timekeeping and payroll compliance
Partner with Operations Managers to conduct pay period reviews and ensure payroll authorization aligns with established protocols
Lead weekly workforce planning activities, including roster development, PTO coverage, and staffing adjustments
Collaborate with Field Supervisors to resolve unplanned staffing gaps and maintain uninterrupted operations
Coordinate post-orientation placement and assignment of new hires, including work location, supervisory contacts, and start logistics
Ensure all deployment communications align with Operations Manager direction and operational needs
Partner with Safety and Compliance teams to track and maintain mandatory training requirements such as PEC, H2S, Fit Testing, and customer-specific certifications
Monitor training expirations and proactively address compliance gaps to avoid operational disruptions
Serve as a point of contact for light-duty vehicle coordination, maintenance requests, and asset tracking
Coordinate with maintenance and parts teams to ensure timely delivery of equipment and materials to field locations
Assist Operations leadership with review of Samsara violations and documentation
Prepare disciplinary, corrective action, and payroll-related documentation in UKG with Operations Manager approval
Compile operational data and contribute to weekly KPI and performance reporting
Communicate effectively with Operations Managers, Field Supervisors, HR, Safety, and other departments regarding staffing changes, compliance status, and operational priorities
Other duties as assigned

Required

High School Diploma or GED required
Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook
Strong organizational skills with high attention to detail and accuracy
Ability to take initiative and ownership of projects, without requiring oversight of daily tasks
Ability to multitask and prioritize effectively in a fast-paced environment
Excellent communication and interpersonal skills with the ability to interact effectively with individuals at all levels
Proactive problem-solving mindset with the ability to anticipate operational needs
Solid problem-solving and decision-making abilities with a focus on continuous improvement and process efficiency
Strong verbal and written communication skills
Flexibility to work weekends as business needs require
Must be able to read, write, and speak English
Ability to sit for extended periods while working at a desk or computer
Ability to use hands and fingers to operate a computer, keyboard, and other office equipment
Ability to view computer screens for prolonged periods
Ability to occasionally stand, walk, bend, or reach
Ability to lift and carry light office materials up to 15 pounds as needed
Ability to communicate effectively in person, by phone, and via email
