Responsibilities

Provides advanced administrative clerical support to a Sr. Director and/or Physician Division Head and their respective staff for clinical and/or operational initiatives
Prepares and composes routine correspondence, memoranda, reports, presentations, etc
Screens telephone calls and visitors, and resolves routine and complex inquiries
Schedules and maintains calendars, meetings, and travel itineraries
Prepares and distributes meeting materials, agendas, and meeting notes upon request using Microsoft Office Suite applications
Gathers and analyzes data in preparation for special reports and regular meetings
Assists Administrator and Directors with project management on special projects as requested, (work task breakdowns, prioritization, and scheduling)
Assist with budget data maintenance and information distribution among directors
Develops itineraries for faculty recruitment visits; coordinates travel; arranges internal and external meetings to include venue selection, catering requirements, and all relative logistics
Reconciles purchasing card, submits expense reports, purchase orders, and check requests
Works with Division Leadership to streamline office workflows for maximum efficiency of work group or team
May orient and coach other Administrative Professionals (AP) across the organization and/or lead committees specific to AP work
Manages department lists and directories; creates and maintains departmental organization charts

Required

High School Diploma/GED
Three years general office or secretarial experience that includes one year of mid-level management support
Extensive knowledge and experience working with Microsoft applications such as Microsoft Word, Excel, and PowerPoint
Ability to operate standard office equipment (examples: photocopy machine, facsimile machine, calculator, etc.)
Must have excellent organizational and prioritization skills to effectively manage priorities of multiple team members
Ability to provide high level of quality customer service to team members, employees, management staff, in addition to external customers
Excellent written and verbal communication skills, self-motivated and professional
Efficient time management / problem solving skills with the ability to prioritize work to meet stringent deadlines
Ability to work independently and complete tasks with accuracy and minimal direction
Must display a high level of integrity and appropriately manage confidential information, meeting all compliance standards

Preferred

Bachelor's Degree
Hospital or physician office experience
Ability to type at least 40 wpm
