Senior Payroll Analyst
Recruiting Caddies LLC is seeking a Senior Payroll Analyst who will play a critical role in ensuring accurate, compliant, and timely payroll processing across a complex AEC environment. This position involves partnering closely with various departments to manage multi-entity, multi-state payroll while navigating union rules and labor structures.
Responsibilities
Lead end-to-end payroll processing for exempt and non-exempt employees across multiple entities, states, and pay groups
Ensure accurate application of union agreements, certified payroll, prevailing wage, per diem, shift differentials, and project-specific labor rules
Maintain compliance with federal, state, and local wage and hour laws, including multi-state taxation requirements
Review and validate payroll inputs including timecards, job codes, cost allocations, and labor distributions
Resolve payroll discrepancies, corrections, off-cycle payrolls, and retroactive adjustments with precision and urgency
Partner with Project Accounting to ensure proper labor cost allocation to jobs, phases, and cost codes
Support certified payroll reporting for public works projects and government contracts
Collaborate with Operations and Field Leadership to address payroll questions related to job assignments, union classifications, and project labor compliance
Prepare and analyze payroll reports for Finance, HR, and Leadership, including labor cost trends and variance analysis
Support internal and external audits by providing payroll documentation, reconciliations, and compliance reporting
Reconcile payroll to the general ledger and assist with month-end and year-end close activities
Serve as a subject matter expert for payroll systems (e.g., ADP, UKG, Workday, Paylocity, or similar platforms)
Identify opportunities to streamline payroll processes, improve controls, and enhance data accuracy
Assist with payroll system implementations, upgrades, testing, and integrations with HRIS and accounting systems
Document payroll procedures and maintain internal controls to ensure consistency and compliance
Act as a trusted payroll advisor to HR, Finance, and Leadership teams
Mentor and provide guidance to junior payroll staff or coordinators as needed
Respond to employee payroll inquiries with professionalism, confidentiality, and a service-oriented approach
Qualification
Required
Bachelor's degree in Accounting, Finance, Human Resources, or related field
5+ years of progressive payroll experience
Hands-on experience with multi-state payroll, union payroll, and project-based labor structures
Working knowledge of prevailing wage, certified payroll, and job cost accounting
Advanced proficiency in payroll systems and Excel (pivot tables, VLOOKUP/XLOOKUP, data analysis)
Exceptional attention to detail and accuracy
Strong analytical and problem-solving skills
Ability to manage tight deadlines in a fast-paced environment
High level of discretion and confidentiality
Collaborative, proactive, and solutions-oriented mindset
Preferred
Experience in AEC environments
CPP (Certified Payroll Professional)
