Manager's Office Support Consultant

The Inter-American Development Bank (IDB) is a community focused on improving lives in Latin America and the Caribbean. They are seeking a Front Office Support Consultant to provide administrative, operational, budgetary, communications, and corporate support to ensure smooth day-to-day operations within the Financial Management and Procurement team.

Responsibilities

Manage FMP’s and the Division Chief’s agenda with delegated authority
Plan, coordinate, and monitor internal and external meetings
Prepare travel authorizations and expense statements
Provide general administrative support to FMP’s Front Office
Support Letters of Agreement and related arrangements
Support preparation of contracts for consultants, firms, and other arrangements
Assist in uploading, monitoring, and maintaining contract documentation
Process and monitor payments to firms and contracts financed with administrative funds
Support preparation, execution, monitoring, and follow‑up of FMP’s regular budget
Assist with expenditure tracking and consolidation of financial data
Prepare summaries and periodic budget updates
Prepare and estimate event budgets
Support inter‑departmental meetings, conferences, and corporate events
Support the communications team with internal materials
Assist in preparing staff meetings, agendas, and slide decks
Draft and finalize internal communications
Support ad‑hoc communications requests
Manage dissemination of communication materials
Graphic Design Support

Qualification

Required

Bachelor's degree in Business Administration, Communications, Accounting, Financial Management, or related field
At least 2 years of relevant experience performing administrative tasks, managing calendars and providing executive support
Proficiency in Spanish and English, spoken and written, is required
You are a citizen of one of our 48-member countries
You have no family members (up to the fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab

Preferred

Additional knowledge of French and Portuguese is preferable
