Responsibilities
Lead the team to manage the posting, matching, payment of invoices per department guidelines
Works with both merch and non-merch vendors, especially jewelry and watch repair vendors
Assists the AP manager in process improvement
Manage special requests and complex exceptions in accordance with company policy
Serve as liaison between departments, stores and vendors in the resolution of administrative problems and inquiries
Reviews all invoices for appropriate documentation and approval prior to payment
Performs weekly check runs and ACH batches to ensure timely payment to our vendors and discounts are captured
Ensure the accuracy of the GL coding in a high paced work environment
Participate in monthly close process
Answer all vendor inquiries in a timely manner
Reconciles sophisticated vendor statements to D365 balances on a monthly basis
Respond timely to miscellaneous requests from inside and outside of the company
Research and resolve invoice discrepancies and issues
Other duties as assigned
Qualification
Required
Proficient in Excel, Word and Outlook
Experience in ERP systems specifically Dynamics 365
Builds relationships across business to ensure transparency, training and adherence to company policies and practices
Process improvement and dedication to customer service is essential
Detail oriented, professional attitude, reliable
Strong organizational and time management skills
Excellent customer service skills and initiative
Good verbal and written communication skills are required
Must be able to manage, organize and prioritize competing workloads and duties within specific time schedules and deadlines
Ability to be an effective team member
