Responsibilities

Provide support to all Project Management teams and other Corporate Departments as needed with regard to Compliance tasks
Process and manage documents related to customer prequalification, customer contracts, subcontracts, insurance, bonds, and other compliance-related items
Specialize in one of the following areas while cross-training in others:
Customer Prequalification: Review and compile customer qualifications, ensuring all required documentation is collected and submitted on time
Customer Contracts: Review, process, and transmit customer contracts, change orders, project insurance, and client compliance documents; track and follow up on outstanding contract documents
Subcontract Issuance: Manage the subcontract issuance process, ensuring all required activities are completed
Compliance Tracking: Monitor compliance adherence by sub-tier vendors, including tracking, logging, and filing related documents
Subcontract Invoicing: Enter subcontract invoicing into the accounting system (Vista), ensuring accuracy and timely processing
Utilize digital vault system (pVault) to organize, file, and index all documentation, ensuring a streamlined document management process
Maintain high efficiency and accuracy in data entry tasks within Smartsheet and the accounting system (Vista)
Collaborate with team members in meetings and other inter-company sessions, providing key information and contributing to discussions on compliance matters
Adhere to the PRIME Safety Program, complying with safety regulations, procedures and safe work practices
Maintain a physical presence onsite and provide assistance to specific groups, managers and project management teams as needed
Perform other duties as requested; duties, responsibilities and activities may change, or new ones may be assigned at any time with or without notice

Required

Associate's degree and 2-3 years' experience in a role focusing on one or more of the following: Contract Administration, Accounts Payable, Accounts Receivable, Sub-Tier Compliance, Site or Project Coordination; or equivalent combination of education and experience
Strong communication skills, both written and verbal, with the ability to effectively, professionally, and diplomatically interface at all levels (customers, clients, subcontractors, vendors, peers, field personnel, managers, and executives)
Strong attention to detail
Customer-focused with an ability to meet deadlines in a fast-paced environment
Intermediate to advanced Microsoft Office Suite skills
Intermediate to advanced Adobe Acrobat, Blue Beam and Smartsheet skills
Solid organizational, prioritization and multi-tasking skills
Must possess a sense of urgency while maintaining accuracy
Ability to meet deadlines in a fast-paced environment
Takes initiative to provide support and all necessary follow-ups and follow-throughs to complete the task
Intuitive nature with an emphasis on furthering efficiencies within the department and PRIME

Construction industry experience a plus
