Executive & F&B Administrative Assistant

Grand Hyatt Deer Valley Hotel is located in the famous Deer Valley ski resort and offers luxurious accommodations and extensive meeting spaces. They are seeking an Executive & F&B Administrative Assistant to provide comprehensive administrative support to the General Manager and Food & Beverage leaders, manage schedules, prepare reports, and assist with various projects and events.

Responsibilities

Manage calendars, schedule meetings, and coordinate logistics for the General Manager
Prepare correspondence, reports, presentations, and meeting materials
Screen and route calls, emails, and visitors; handle routine inquiries
Coordinate travel arrangements and process expense reports
Maintain organized filing systems and support general office operations
Assist with special projects, colleague events, and internal communications
Perform other duties as assigned
Provide administrative support to the F&B Leaders and executive leaders
Assist with scheduling, meeting agendas, minutes, and follow‑up items
Prepare F&B reports, checklists, menus, and departmental documentation
Support hiring, onboarding, and training coordination for F&B and executive teams
Help track departmental projects, invoices, purchasing, and compliance documents
Coordinate F&B colleague engagement activities and seasonal events
Perform other duties as assigned
Draft, edit, and format letters, reports, and meeting notes
Track deadlines, action items, and project progress for both departments
Handle confidential information with discretion
Perform other duties as assigned

Required

Ability to sit, stand, and work at a computer for extended periods
Ability to occasionally lift up to 20 lbs
Ability to move throughout the hotel as needed to support operations
Strong organization and time‑management skills with the ability to handle multiple priorities
Clear, professional written and verbal communication
High attention to detail and accuracy
Ability to maintain confidentiality and use sound judgment
Proficiency in Microsoft Office; familiarity with hotel systems (Workday, BirchStreet, Opera) is a plus
Comfortable preparing reports, presentations, and departmental materials
Strong interpersonal skills and ability to work effectively with multiple leaders
