Responsibilities

Lead day-to-day Texas office management, overseeing the reception desk and serving as the primary point of contact for visitors, vendors, and deliveries
Own vendor and building relationships —managing contracts, deliveries, maintenance, cleaning, parking, and building security to ensure smooth operations and a safe, seamless employee experience
Oversee office facilities, including furniture, equipment, and refreshments, and supplies, ensuring the space is fully stocked, functional, and inspiring
Manage ordering for the kitchen and other common areas while verifying approval and appropriate budget; be creative, take the pulse of employees for ideas, and stock items that keep people energized and inspired while in-office
Coordinate with external vendors to ensure ongoing replenishment of breakroom and office supplies (active ordering, ensure vendors auto replenish, etc.)
Unbox, stock and restock breakroom supplies (coffee machine, snacks, etc.)
Develop and maintain processes for cleanliness and organization in the kitchen/common areas
Ensure meeting facilities are ready for use at all times and necessary meeting equipment and supplies are available and working properly
Send out relevant office-wide announcements on any facility, parking, and operational activities impacting daily productivity
Oversee logistics, communications, and day-of activities for any office move, renovation, and/or related activities to ensure things go smoothly and workflow is uninterrupted
Liaise directly with Corporate HR teams in Des Moines and Miami to maintain compliance with all federal, state, and local employment laws and regulations
Maintain employee files and ensure compliance with recordkeeping requirements
Manage I-9 documentation and conduct regular audits to ensure compliance with legal requirements
Assist with facilitation of new employee orientation sessions to provide essential information and resources for a successful onboarding experience
Assist with training, coaching and collaboration with business leaders in employee development, teambuilding, performance management and talent planning. Assist leaders with development plans for teams and employees
Assist documentation and/or data collection with legal counsel on employee-related legal matters, including compliance with employment laws and regulations
Conduct Verification of Employment requests
Maintain compliance with all federal, state, and local employment laws and regulations. Prepare and submit required reports to regulatory agencies as necessary
Create and take pride in an environment that feels warm, creative, flexible, and energizing—an office employees want to come to
Help to onboard and welcome new employees by setting up their workspace, conducting facility tours, providing parking info, and ensuring they’re ready to go on their first day and beyond. Coordinate with Miami IT Management to ensure proper system setup, equipment, etc
Coordinate team lunches, office events, milestone celebrations, and company traditions that bring people together
Keep spirits high by managing the employee birthday calendar and gifts, and by finding ways to celebrate wins—big and small. Come up with creative ideas to enhance the employee experience and make people feel recognized on special occasions
Collaborate with leadership and the Des Moines office on company-wide initiatives, events, and announcements
Be a trusted resource and ally to employees, ensuring their day-to-day office experience is positive and productive, and that they can come to you with questions, concerns, etc. about items pertaining to the facility, parking, refreshments, equipment, etc

Required

5+ years of experience in office management and HR (or a combination of the two)
2 or more years of progressive HR experience in general employee HR support
Knowledge of HR basic operations, maintenance of employee records, and basic employment law, and regulatory compliance
Prior experience with HRIS systems like ADP a hug plus
Strong organizational skills and attention to detail
Excellent written and verbal communication skills
Proficiency in Microsoft Office Suite, Teams, Zoom, and document management tools
Ability to manage sensitive information with discretion
A proactive, adaptable, and collaborative mindset

Preferred

Experience in insurance and/or financial services industries is a plus
HR certification (e.g., SHRM-SCP, SPHR) not required but welcomed
