Client Service Specialist (Legal Secretary) – Litigation Support
NRI Legal Resources is seeking a Client Service Specialist (Legal Secretary) for a prestigious law firm in Washington, D.C. This role involves providing comprehensive administrative, litigation, and client service support to attorneys, ensuring the smooth operation of legal matters and daily practice workflows.
Responsibilities
Maintain a regular in-office presence to support collaboration and workflow efficiency
Coordinate litigation support, administrative tasks, and special projects for attorneys and clients
Manage time entry, expense reporting, billing processes, meeting scheduling, and matter openings
Draft, format, proofread, and edit legal documents and correspondence in both English and Spanish
File legal documents with courts and government agencies, ensuring accuracy and timeliness
Partner with internal teams (Document Services, Finance, Practice Support, and others) across offices to execute assignments
Support and monitor client billing, including billing codes, proofreading invoices, rate adjustments, write-offs, and compliance with billing protocols
Maintain accurate records within the document management system and follow best practices for file organization and task tracking
Manage attorneys’ calendars, travel arrangements, and daily administrative needs
Work overtime as needed and provide support on additional firm initiatives and projects
Qualification
Required
Fluency in English and Spanish (written and verbal) required
Minimum of 6 years of legal secretarial or related legal experience required
Exceptional organizational and multitasking abilities with a strong team-oriented mindset
Advanced proficiency in English grammar, spelling, and legal document formatting
Strong working knowledge of: MS Word, including document comparison tools, MS Outlook, including email and calendar management, MS Excel and PowerPoint, Document management systems and web-based conferencing platforms
Solid understanding of legal billing, timekeeping, and financial processes
Familiarity with court filing procedures and litigation workflows
Strong interpersonal and professional communication skills
Ability to manage competing deadlines while maintaining confidentiality
Preferred
Bachelor's degree preferred
Experience supporting International Arbitration matters is preferred
